June 2024 Release

We’re still working hard to enhance the new Projects module and create a new Theme, so there is not as much for you to see in this release, but importantly it does include:

  • Snapshot Reporting;
  • Some changes to Projects to support the upcoming features;
  • A new way to see the state of the Activities related to your Opportunities.

Snapshot Reporting

In January, we started running a Beta program for a new Snapshot Reporting feature. This is now being released fully.

Snapshot Reporting allows you to copy data from reports into Custom Records, expanding the possibilities for further reports you can build, like:

  • Overviews of how your pipeline has changed over time, for trend analysis and better forecasting;
  • Pulling all your marketing engagement analysis reports together, to get a full picture of what is and isn’t working;
  • Tracking the value of your customers over time and therefore visibility of your customer growth and churn.

The Snapshot Reporting Module is available to customers who have the Custom Records extension, which is included in all Pro licences or as a separate extension. If you are not on a Pro licence, but would like this feature, please talk to your Account Manager.

Projects

We are continuing to build out new functionality for our Projects module. From now on, we will be splitting our Projects functionality into ‘simple’ and ‘advanced’ modules. The ‘simple’ Projects remain available in our Pro licences, and in this Release you’ll see the following changes:

  • Project Tasks will become their own record type, rather than being a sub-type of Tasks. They still show up in your Activities lists but will be reported on separately to Tasks from now on. This also means they can have their own set of custom fields and form layouts.
  • New fields on Project records for Project ‘Type’ and ‘Image’.
  • A ‘Team’ tab where you can manage the Members of the Project and their Role. NOTE: for all existing Projects, we will add the Team Members for you from the Assignees of that Project’s Tasks. The owner of the Project will be made the ‘Project Manager’ whilst the others will be added as ‘Participants’. Participants don’t have full access to the Project, so you may want to amend the Role of the Member or amend the Participant Role’s Permissions. To do so, go to the Team tab, click ‘Manage Roles’ and select the ‘Participant’ Role.
  • A new ‘Progress’ overview on the Main tab of the Project that shows the progress of your Project Tasks.

We are continuing to add new features into our Advanced Projects module, such as timesheets, budgeting, delivery summaries and templates.  These are not available on general release yet, but if you are interested in joining our Beta Program for these new features, please contact our support team to check your suitability, at support@workbooks.com.

Opportunity Activity Status

With the new ‘My Activities’ View on your Springboards, and the ability to add the ‘My Opportunities’ View to your Springboard too, you need a way of bringing the two together and highlighting any Opportunities that are missing an Activity.

We have added ‘Next Activity State’ and ‘Next Activity Scheduled’ fields to Opportunities, which can be included in any view like the Kanban below, to flag up those that are missing an action.

Exporting to Excel

When exporting to excel, files will now use the .xlsx extension, meaning you no longer get an incompatibility message, and files can be opened on phones.

We have also added 2 new Preferences, in the ‘Desktop Behaviour’ section, to control whether you want the additional columns for the ‘Amount’ and ‘Currency Code’ of currency fields to be included in your exports. By default, these columns will still be included in CSV exports, but not included in Excel exports.
